Microsoft Word

The information below was part of a resource packet for teachers who took my   3-day course in Microsoft Word. In addition, I've streamlined some of the information that I taught during an additional 3-day course on Advanced Word.The printed version of this document included graphics of the features described below.

 

 

Beginning Microsoft Word

 First things first

·         Opening a document

·         Microsoft Word

·         New

·         Always do File, Save as     

 

Toolbars

·       Terms

·         Title Bar (Basic Microsoft Word)

·         Menu Bar (File, Edit, View, etc.)

·         Maximize/Restore, Minimize, Close (top right corner)

·         Ruler  (directly above Basic Microsoft Word)

·         Scroll Bars (right and bottom)

·         View buttons (bottom left)

·         Standard toolbar (pictures a top – disk, printer, etc.)

·         Drawing toolbar (pictures at bottom draw, arrow, square, etc.)

·         Status bar (page 1, sec1, etc.)

 

Working in Documents – Basics

·         Saving 

·         File save as first time to save

·         Check arrow – save to your login #, floppy, desktop

·         From then on, click disk to save

·         Save every 10 minutes or so

·         Backup in 2 places – example: login # storage space and floppy

·         Hi-lighting, selecting text

·         3 types: left arrow, right arrow, or I

·         right arrow ( to left of text)

·         1 click selects line

·         2 clicks selects paragraph

·         3 clicks selects document

·         Only works in paragraphs, with no returns/enters at end of lines

·         Saves time  - no highlighting and “dragging” down the page

·         OR to select a sentence – point anywhere inside the sentence. Press control & click!

·         Deleting text

·         Highlight text, press delete or simply type over it

 

Changing font (windows or format, font  menu)

·         Style, size, bold, underline, italics

·         Color/Hightlight

·         Good rule of thumb: no more than 3 text sizes in a document & stick with the same text type

·        

 

Cutting, copying, pasting (scissors, 2 papers, clipboard or under Edit menu)

·         Highlight text

·         To remove it and place it elsewhere – cut, paste

·         To put similar or duplicate information in – copy, paste

·         Examples

·         Undo, Redo (next to paintbrush, left and right arrows or under edit menu)

·        

 

Great buttons to teach kids!

·         Spell Check (checkmark)

·         Aligning text

·         Centering (center button)

·         Moving bullet points (arrows next to bullets button)

·         Spacing (highlight text, format, paragraph, # points before and after text)

·         Navigating documents

·         Scroll bars

·         Arrow keys move 1 space at a time

·         Page down  - down 1 screen

·         Page up – up 1 screen

·         Control/End – end of document

·         Control/Home – top of document

·         End – end of line

·         Home – beginning of line

·         Viewing documents

·         View buttons (bottom left corner or under view menu)

·         Zoom (75%)

·         Paragraph show/hide button

·         Page Margins

·         File, page set up

·         Printing documents

·         Printer button or file print menu

·         To print in color,- properties, color, click off print in grayscale

·         Canceling print jobs

·         If you can see printer on bottom right of screen, select it, cancel printing

·         OR double click on printer icon on desktop

·         Printing from the web

·         Minimize word, open web

·         Highlight text (pictures won’t work – can copy them different way)

·         Right click, copy

·         Minimize web, click on Microsoft word on the bottom of screen

·         Right click, paste

·         You’ll have to fix the formatting

·         For a picture from the web - right click on picture, save image as

·         Click on arrow, save it to desktop

·         In word, insert, picture from file, select desktop and your picture!

·         Copying Web site addresses from the Internet

·         Minimize word, open Netscape

·         Find the web site you want

·         Click in URL window so the web address turns blue

·         Right click, copy

·         Go back to Word

·         Right click, paste

·         Type in description nearby

Tables

·         Table, Insert table  - use this most often – for even columns, etc.

·         OR Table, draw table – use this for odd sized tables or cells within tables

 

·         Formatting tables

·         Moving columns – highlight entire table

·         Inserting & deleting rows, columns

·         Distributing rows and columns evenly

·         Table borders – use these to make worksheets
